9746 - Campus Recreational Sports Administrative Assistant, Recreational Sports

General Information: Campus Recreational Sports serves nearly 36,000 IUB students annually through a wide range of programs including aquatics, informal sports, strength & conditioning, group exercise, intramural sports and club sports. Our mission is to “Connect, inform and inspire people to lead healthy, active lifestyles.” We are currently seeking qualified applicants as one of two assistants to provide key administrative support to the associate director. Position includes data entry, utilizing databases, processing and copying documents, gathering information and performing other office functions such as scheduling and meeting preparation. The work location will be at the Indiana University Student Recreational Sports Center. This position is 29 hours a week with flexibility and may include some evenings. Use of the fitness facility is included. Position Responsibilities: Utilize the existing electronic hubs to record and archive information related to facilities, human resources, and facility-related capital projects. Work with staff to establish schedules for key operational processes, maintain electronic schedule, and monitor activities. Maintain RS operations calendar. Work closely with IT staff on archival initiatives. Prepare Associate Director for meetings - Word processing, filing, photocopying, scanning, and meeting note preparation. Attend committee meetings, transcribe and distribute meeting notes, and prepare accident/incident report packets for review.

Qualifications: Must demonstrate excellent verbal and written skills, be dependable and reliable, and be able to work in harmony with lead administrative assistant.

High school diploma or GED and minimum 2 years experience in an organizational capacity with skills that include electronic file management, customer service, phone etiquette, attention to detail, discretion, alertness and concentration, and the ability to improve and maintain an organized structure for maintaining both electronic and paper files. Computer experience in Microsoft Word, Excel, Outlook, Microsoft Project, and Microsoft Access preferred. Transcription experience is a plus.
