8867 - Financial Affairs Assistant

This position will be responsible for overseeing the financial operations for the Center for Teaching and Learning (CTL) and Office for Women in coordination with the Administrative Manager. This person will also assist the Administrative Manager with items relating to the Office of the Vice Chancellor for Research and its affiliated units. This will consist of monthly review of operating statements, management of grant budgets, including proposal submission, and management of sub awards with other institutions. Other duties include paying consultants, purchasing, processing of reimbursements, hospitality payments, travel, as well as assisting the Executive Director and other staff members with special projects and other events within the CTL.

Primary Responsibilities Include:

• Review of monthly operating statements, checking for accuracy, meeting with unit Directors to ensure accounts are properly reconciled. • Assist Administrative Manager with Purchasing, KFS documents, and travel. This includes paying consultants, processing reimbursements, hospitality payments, etc. • Generation and management of grant budgets including proposal submission, and management of sub awards with other institutions. • Assist with events and special projects as assigned by the CTL Executive Director and Administrative Manager. • Provide assistance to Administrative Manager as it relates to departmental payroll and hiring procedures. This includes academic, staff, and work-study positions.

To be successful the candidate should have excellent computer skills required and knowledge of Microsoft Office programs, specifically Excel. Good communication and team working skills. The ability to communicate with a variety of people and to work collaboratively.

Required: High School Diploma plus 5 years’ experience with accounting and budget creation or Bachelor's degree from an accredited institution plus 2 years experience.

Preferred: Previous experience with IU systems (i.e. KFS, HRMS, travel) or other budget management software. Experience with budget construction and proposal submission to National Science Foundation (NSF) also desirable.
