10301 - Assistant Recorder

Assist the Recorder in all aspects of student record keeping, registration, grades, exam numbers, graduation, state eligibility, exclusion letters, and student database. Provide administrative support to the Associate Director of Student Affairs.

Duties and responsibilities:

•Student Records and Files - maintain student database; prepare letters of good standing and class rank requests; prepare standard 505 letters for former students who have been dismissed from the law school; prepare Dean's list letters and Dean's list document for posting in law school; prepare warning, exclusion, and readmission lists and letters for students and post petitions and documents onto Oncourse.

•Conduct student registration - enter course schedule into database; enter room assignments; assist students

•Provide administrative support to Associate Director of Student Affairs

•Graduation - conduct graduation checks; assist at commencement; compile information for commencement program

•Grades and exams - distribute and collect grade rosters; distribute exam numbers; assist in all aspects of exam administration as directed by Recorder

•Assist Asst. Director with statistical projects - complete transfer credit processing to be submitted to IUPUI Graduate Office for transfer students and for current students who visit another law school

•General receptionist/secretarial duties - greet students, faculty, staff and others when they enter the Office of Student Affairs; make appointments for and access calendar of any staff member in the OSA suite when necessary to answer inquiries

•Provide support to Assistant Dean for Student Affairs for preparing academic warning and probation notice and terms, and processing transfer credit. Serve as back-up to administrative assistant for Assistant Dean for Student Affairs.

The successful candidate should possess general office skills; good verbal and written communication; attention to detail; Microsoft Office experience preferred. Confidentiality; constant interruptions; time pressures; good demeanor/attitude with visitors.

Required: High school or equivalent, plus 3 years of relevant experience. Some college preferred.
